Who controls the care team

Each care team has one active Team leader who decides who can join and what access they receive. Other members help with the work their role and permissions allow.

Who this article is for

People at the centre, families, supporters, Team leaders and invited professionals

Where to find it

  • Open Team to see the people involved and the current Team leader.
  • Team leaders use People & access to manage members. Professionals open Team inside the relevant client workspace.

The Team leader manages membership and access

The Team leader can invite people, review join requests, change permissions, pause or remove access, and hand leadership to someone else.

That responsibility applies to one care team. Leading one team does not give someone access to any other care team.

The person receiving support stays at the centre

A care team belongs around the person receiving support, rather than being a workspace for one provider’s whole organisation. The Team leader may be the participant, a family member or another authorised person.

The Team leader should make access decisions with the person’s wishes and authority in mind. The role is a Kinovo responsibility; it does not by itself give legal authority to make decisions for someone.

For help preparing a discussion about someone’s choices, see the supported decision-making resource.

Other people can help without taking over leadership

  • An Admin can help with broad everyday work, including goals, tasks, documents, Care Protocols and invitations.
  • Admin access does not allow somebody to change the Team leader or another member’s permissions.
  • Professionals, family/supporters and the person at the centre have their own roles and permissions.
  • Being able to see something does not automatically mean being able to edit, review or share it.

Hand over the Team leader role

Before handing over, agree who will take responsibility. In Team → People & access, choose the intended active member and review the handover confirmation. A Team leader invitation is another supported handover path.

There is still one Team leader after the handover. The current leader must transfer responsibility before leaving or removing their own membership, so the team is not left without someone who can manage access.

What the team remains responsible for

Kinovo provides the access controls. The care team decides who should be involved, checks that shared information is appropriate, and reviews access when someone’s work changes.

If you cannot reach the Team leader or believe access is wrong, contact Kinovo support and explain the situation. Do not use someone else’s account to get around the restriction.

Use one account per person

Keep your own login so the team can see who contributed or made a change. Never share a password with a family member, colleague or support person.
