Access, privacy and safety
Who can see each item
Joining a care team lets you see the information shared with you. Documents, messages, tasks and private notes can have different access rules, so not everyone sees every item.
Who this article is for
Everybody who adds, reads or manages information in a care-team workspace
Where to find it
- Open Team → My permissions to check what your membership allows you to do.
- Check the audience or visibility shown on a document, Care Protocol or conversation before sharing information.
Start with the right account and care team
Ordinary workspace access requires an active membership and an accepted confidentiality agreement for that team. Sign in with your own invited email and select the correct care team.
If your membership is suspended or removed, you cannot keep opening its workspace information through old bookmarks or notifications. Separate limited Care Protocol access follows its own approved scope.
What is shared and what stays private
- Profile and goals: shared care-team context is available to current members. Editing requires the appropriate permission, and personal contact details can have their own visibility settings.
- Tasks: access depends on your involvement, such as creating or receiving the task, or having permission to view all team tasks.
- Care Protocols: the selected audience controls who can read them.
- Documents: each file’s visibility controls who can open it. A linked task does not override that choice.
- Messages: team conversations and restricted conversations have different audiences. Team leader oversight can still apply to restricted threads.
- Private notes: visible only to the author, including their reminders. Linking one to a task does not share it.
- Meetings: details stay within the care team. The invited people record their own attendance responses.
An alert does not grant access
An alert tells someone about an item they are permitted to open. It does not grant access to a restricted file or conversation.
Someone can also have access without receiving an alert. For example, a document shared with the team can be available in Documents even if you only alert one person about it.
Links keep the original access rules
A document linked to a goal, task or Care Protocol still has its own access rules. If a reader cannot open it, check the document’s visibility rather than pasting its private content into a wider conversation.
A downloaded copy is different: once a file is saved outside Kinovo, Kinovo cannot control every later copy. Share and store it only through appropriate channels.
If you cannot see something
- Confirm that you are in the correct care-team workspace.
- Check whether your membership is active and the confidentiality agreement is complete.
- Ask whether the item was shared with your role or with selected people.
- For a locked document, use Request access when it is available.
- Ask the Team leader to review your care-team permissions; do not ask another member to copy restricted information into a less private area.
