How document visibility works
Choose document visibility to control who can open a file in Kinovo. Check the audience before uploading, and remember that an alert or a link does not change that access.
Who this article is for
Anybody who uploads, shares, receives or requests access to a care-team document
Where to find it
- Choose the visibility preset in the Upload document popup before saving a file.
- Open Document details to see the current Visible to summary, versions, linked work and any available access-request controls.
Choose the people who need the file
- All team members: for information the whole current care team needs.
- Uploader plus client: includes the uploader, person at the centre and Team leader.
- All professionals: professionals in this care team, with Team leader oversight.
- All family and supporters: family/supporters and the person at the centre, with Team leader oversight.
- Selected people: the members you choose, with Team leader oversight and the uploader’s authorised access.
- Team leaders only: limits the audience to leadership under the document’s access rules.
- Assigned person: available in supported task workflows, with the required oversight.
Selected people is not hidden from the Team leader
Check the Visible to summary. It explains the effective audience, including any uploader or oversight access.
Check the audience for each upload
Your saved preference may preselect a visibility option. Review it for this particular file before saving; last time’s choice may not suit this document.
Kinovo checks document access when someone opens, previews or downloads a file. Seeing that a locked document exists does not necessarily mean being able to read its contents.
Share with selected people
Choose the active members who need the document for their work. For example, a quote may need the person handling the request without needing every member to receive an alert.
If someone leaves the care team, their ordinary membership access ends. Kinovo cannot recall a copy they have already downloaded, so check the audience before sharing.
What happens with alerts and replacement files
- Let specific people know alerts eligible readers. It does not add them to the document’s audience.
- Linking a document to other work does not widen the file’s access.
- A new document version follows the current document’s visibility and keeps the same links.
- If you need someone to act, create a linked task with a clear request.
If a document is locked
Use Request access when it is shown and explain why you need the file. The Team leader can approve or decline access to that document.
Approval does not give you broader workspace permissions or access to other restricted files. If no request option appears, ask the Team leader to check the document’s audience.
Check before uploading sensitive information
Only upload information you are authorised to share, and choose the smallest audience that can still do the required work.
