Changing someone’s permissions

The Team leader can change what a member is allowed to do in one care team. Review the person’s responsibilities, check the access summary, then save only the changes they need.

Who this article is for

Team leaders who manage care-team access and members who want to understand an access change

Where to find it

  • Open Team, choose People & access, then open the relevant member.
  • The member’s effective access summary shows what their current role and custom permissions allow.

Only the Team leader can change member access

Only the active Team leader can change another member’s role, status, Admin access or individual permissions. Admins can help with ordinary work and invitations but cannot change these access settings.

If you are a member who needs another permission, use the request option when available or ask the Team leader.

Understand the three choices

Read the access summary to see the combined result. Document and conversation visibility still apply separately.

  • Role describes the person’s place in the team, such as Professional or Family / supporter.
  • Admin access adds broad help with everyday coordination. It does not transfer Team leader responsibility.
  • Individual permissions control particular actions, such as editing the profile, managing tasks, uploading documents or viewing all team tasks.

Update one member’s access

  1. 1

    Open the right member

Go to Team → People & access → People and check the name and care team.

  2. 2

    Match access to their responsibilities

Review their role, Admin access and available permissions. Give them what they need for the work they are doing.

  3. 3

    Check their status

Active allows normal access within their permissions. Suspended pauses membership access; removal has a separate handover process.

  4. 4

    Review and save

Read the resulting access summary, then save. Ask the member to reopen the relevant page if their view has not refreshed.

Approve or decline a permission request

Read what the member is trying to do and why. Approve the specific permission if it fits their responsibility, or decline if it is not appropriate.

Approval changes only the requested permission. It does not automatically make the person an Admin or Team leader or grant unrelated access.

Review access after a change

  • Confirm that the member can perform the intended action and no broader action.
  • Check item-level visibility separately; a workspace permission does not reveal every private document or thread.
  • Suspend or remove access promptly when involvement ends.
  • Transfer leadership through the dedicated handover rather than trying to edit the current Team leader like an ordinary member.
