NDIS care coordination software

One shared NDIS care-team workspace—without replacing everyone's systems.

Kinovo gives the participant, family and invited professionals one private place for current context, actions, documents and progress. It connects the shared edge of the work while professional and clinical records remain where they belong.

The coordination gap

The missing information is often between systems—not inside one.

An NDIS care team can include a family, support coordinator, workers, allied health professionals and several providers. Each person may have a useful part of the picture, but no organisation's system is designed to coordinate the whole invited team.

Family communication

Calls, texts, emails and memory often hold the participant's practical context, preferences and latest changes.

Professional and provider systems

Each organisation keeps its required case notes, clinical records, billing, rostering and internal operations in its own system.

The shared edge between them

Ownership, waiting work, cross-provider next steps and the current document can become unclear when no shared place connects the team.

Looking for a practical process rather than software? Read the public NDIS care-team coordination guide. It explains habits any team can use; this page explains the role software can play. Preparing for an upcoming review? Use the free NDIS plan review checklist and reassessment evidence tracker.

Where Kinovo fits

A shared coordination layer—not a new master system.

Kinovo holds the smallest useful shared picture at the edge of the work. Each participant workspace connects invited people while every family, professional and provider keeps its appropriate source records.

Bring to the shared edge

  • Current practical context the invited team needs.
  • Shared goals, next actions, ownership and waiting states.
  • Relevant current documents connected to the work.
  • Concise progress updates and requests for contribution.

Keep in the responsible system

  • Formal case notes, clinical records and professional records.
  • Provider CRM, internal client and organisational records.
  • Plan management, billing, accounting and payment records.
  • Rostering, staffing and internal provider operations.
  • Emergency, incident-response and urgent clinical channels.

What the shared workspace holds

Enough information to coordinate the next step.

The shared workspace is intentionally narrower than a provider or clinical system. Its job is to keep invited people aligned around the participant and the work that crosses organisational boundaries.

Current shared context

The practical information and participant preferences invited people need for the work happening now.

Actions, owners and waiting

The next shared step, who owns it, when it is needed and what must happen before it can move.

Relevant current documents

A plan, report, quote, agreement or Care Protocol placed beside the goal or action it supports.

Concise progress and change

Useful shared updates that show what moved or changed without copying a professional's full formal record.

Benefits by role

One participant workspace, useful for each invited contributor.

People do not need the same dashboard or the same permissions. They need the right shared context and a clear way to contribute their part.

Participant, family or nominee

Keep the direction and access centred on the participant without expecting one person to collect and maintain every update.

Support coordinator

Make provider follow-up, plan-review work, ownership and waiting visible across the people involved in this care team.

Allied health professional

Open the relevant goal and current practical context, then respond to the request or share the right report.

Support worker or key worker

Find current Care Protocols and contribute a concise practical update within the access you have been given.

Provider or service team

Contribute to shared client-facing work while internal case notes, staffing, billing and operations remain in existing systems.

Privacy and participant control

Participant-controlled does not mean participant-maintained.

The participant, family or authorised nominee controls the workspace direction. The Team leader—the person trusted to manage access and shared oversight—invites people deliberately, while each contributor adds the information and updates relevant to their role.

  • Every participant workspace remains separate.
  • Access is invitation-based or approved by the Team leader.
  • The person receiving support does not have to maintain everything.
  • Professional records remain in each professional's required system.

Practical questions

A focused shared workspace with clear limits.

What gap does NDIS care coordination software fill?

It gives the participant, family and invited professionals a shared place for the current context and cross-team work that otherwise sits between calls, messages and separate organisation systems. It should connect the care team without trying to consolidate every record.

Is Kinovo a provider CRM, plan-management or practice-management system?

No. Kinovo is a shared care-team workspace, not a provider CRM, plan manager, billing system, rostering system or practice-management platform. Those operational and financial records remain in the systems responsible organisations already use.

Will professionals have to duplicate case notes or clinical records?

No. Formal case notes, clinical records and other required professional records stay in the professional's appropriate system. Kinovo is for concise shared updates, action status, relevant documents and the context the invited care team needs.

Who controls and maintains the workspace?

The participant, family or authorised nominee controls the direction, and each workspace has a Team leader—the person trusted to manage access and shared oversight. Participant-controlled does not mean participant-maintained: every invited person can contribute the information and work relevant to their role.

Can several professionals and providers use the same workspace?

Yes, when they are invited or their access request is approved. Each participant workspace remains separate, access is deliberate, and professionals contribute only within the workspace and permissions they have been given.

How long is full MVP access free?

Full MVP access is free for a limited time and no payment card is required. Family access and a one-client professional plan are intended to stay free, while broader paid plans will be introduced later.

Can Kinovo be used as an emergency or incident-response channel?

No. Kinovo is not an emergency service, continuously monitored channel or incident-response system. Urgent health and safety issues must continue through the participant's agreed emergency and professional channels.

Is Kinovo endorsed or certified by the NDIS?

No. Kinovo is an independent software product. It is not an NDIA or NDIS Quality and Safeguards Commission service and does not claim endorsement, approval or certification by those bodies.
