Inviting family members and professionals

Invite only the people who currently need access, give each person the right care-team role, and check exactly what they will be able to do before sending.

Who this article is for

Team leaders and workspace administrators who can manage invitations

Where to find it

  • During care-team setup, use Invite the first people.
  • After setup, open Team, choose Manage team, then Invites.
  • Professionals can also invite a client to start a participant-controlled care team from Add client.

Before inviting somebody

  • Confirm the email address they use for Kinovo.
  • Choose the role they hold in this care team, not merely their account type or job title.
  • Give access only to the information and actions they need.
  • Do not include sensitive care details in the invitation message.

Send a care-team invitation

    Open Invites

    Open the care team’s Team page, choose Manage team and select Invites.

    Enter one or more email addresses

    You can invite several people with the same role by separating their email addresses as shown in the form. Team leader handovers must be sent one at a time.

    Choose the access role

    Select Team leader, Care subject, Professional or Family / supporter. Review the role preset and open Advanced permissions only when the person needs different access.

    Add an optional personal message

    Keep it short and explain why the person is being invited. The message appears separately in the Kinovo invitation email.

    Create the invitation

    Kinovo creates a secure invitation that expires after 14 days and attempts to send the email. The result identifies any address whose email was not accepted for delivery.

What the invited person receives

The invitation email identifies the inviter, care team and role, explains the shared-workspace purpose, includes any personal message and provides a secure acceptance button. It also explains that confidentiality must be agreed before workspace access opens.

The invitation is tied to the invited email address. Forwarding the link does not give a different signed-in account access.

Manage a pending invitation

  • Review the invited email, role and delivery result.
  • Refresh or resend an active invitation when needed; the newest secure link replaces older pending links for that person.
  • Use the fallback link only through a trusted channel if email was not delivered.
  • Revoke the invitation if the person should no longer be able to join.
  • Expired, revoked, declined and accepted invitations cannot be used as active invitations.

Special invitation types

A Team leader invitation is a handover of access control, not an additional administrator invitation. Kinovo requires confirmation before it is sent and transfers Team leader responsibility when it is accepted.

A care-subject invitation is managed from the care subject’s account-access settings and must match the email recorded for their own-account access.

A professional inviting a client uses a different flow: the client decides whether to create the participant-controlled workspace and whether to add the professional. The professional is not automatically given access.

Invite links provide access

Treat a fallback invite link like other sensitive access information. Send it only to the intended person and revoke it if it may have reached the wrong recipient.
