Getting started

Choosing roles and permissions

A role describes someone’s place in the care team. Permissions control what they can do. Start with the role’s usual access, then adjust it to match their responsibilities.

Who this article is for

Team leaders managing access and people reviewing what their role allows

Where to find it

  • Members can open Team → My permissions to see their own access.
  • Team leaders use Team → People & access → People to review or change a member’s access.

Start with the person’s role in this team

  • Team leader: the one person who controls membership, permissions and leadership handover.
  • Person at the centre: the person receiving support. Having this role does not by itself make them Team leader.
  • Professional: an invited worker, therapist, coordinator or other professional contributing to this person’s support.
  • Family / supporter: a family member, friend or trusted supporter who can follow shared work, message, comment and respond to their own assigned requests within their access.

Check the access summary

Roles provide starting permissions. The summary shows what this particular person can do, including any changes the Team leader has made.

Permissions Kinovo can control

  • Manage team access: transfer Team leader responsibility and change member access. This remains Team leader-only.
  • Edit About profile: update context about the person at the centre and their care team.
  • Create and edit Care Protocols.
  • Create and edit goals and tasks.
  • View all team tasks: see the whole task list without automatically gaining authority to edit or review another person’s task.
  • Upload and manage documents.
  • Message the team in client-scoped conversations.
  • Comment and post updates.

Choose access that fits the work

  1. 1

    Choose the closest role

Use the person’s responsibilities in this care team, rather than relying only on their job title.

  2. 2

    Review the permission list

For example, someone who only needs to respond to an assigned task may not need to edit goals or the participant profile.

  3. 3

    Check the summary before saving

Custom means the permissions differ from the usual role settings. Review both what the person can do and what remains restricted.

  4. 4

    Review access when responsibilities change

Update permissions when their work changes, and remove access when they leave the team.

Admin access is different from Team leader

Admin access lets an active member help with broad everyday coordination, such as goals, tasks, documents and invitations.

Admin access does not let them change other members’ permissions or hand over leadership. Those decisions stay with the Team leader.

Being able to edit does not mean seeing everything

Item-level visibility controls who can see a particular document, Care Protocol or restricted conversation. Check it separately from workspace permissions.

For example, permission to upload documents does not automatically let a professional open a file shared only with selected people.

If you need a permission you do not have

Use Request access or the permission-request option when it is offered. Explain what you need to do. The Team leader can approve or decline the specific request.

If no request option appears, contact the Team leader. You do not need a second account to get the right access.

Still need help?

Tell us which step you need help with and any error you saw. Leave out passwords, invitation links and private care information that is not needed to explain the problem.
