Access, privacy and safety
Confidentiality agreements
Before opening a care team’s private information, each member agrees to use it appropriately and keep it confidential. Read the agreement for the team you are joining.
Who this article is for
Everybody invited to join or rejoin a Kinovo care team
Where to find it
- A new invitation includes the confidentiality agreement on the review screen before Agree and join care team.
- If an existing membership is waiting for agreement, Kinovo shows the agreement when you open that team.
Why you are asked to agree
A workspace can contain private information about someone’s support. Everyone needs a clear understanding of how that information may be used.
The care team remains locked for your account until you accept the agreement. Reading it or creating an account alone does not accept it for you.
What you agree to
- Use workspace information only to support, coordinate, review or understand the care of the person the workspace is about.
- Do not share documents, images, videos, messages or other workspace information with unauthorised people.
- Take reasonable care with downloaded or stored files, devices, email accounts and shared folders.
- Do not upload information you are not authorised to share with the care team.
- Tell the Team leader promptly if information may have been shared with the wrong person or downloaded in error.
- Treat Kinovo as a private coordination workspace—not a public record, medical record or publishing channel.
Read and accept the agreement
Not now lets you leave without opening the private workspace. You can return when ready; an invitation still needs to be accepted before it expires.
- 1
Check the care team
Make sure the agreement and proposed access are for the team you intend to join.
- 2
Read the points and acknowledgement
Review how information may be used and shared. Tick the acknowledgement only when you agree.
- 3
Confirm your choice
For an invitation, choose Agree and join care team. For a membership with a pending agreement, use the agreement’s open-team button.
Your acceptance belongs to your account
Kinovo records which account accepted, the acceptance time and the agreement version. Another member cannot accept for your account.
Use your own account and keep your login private. Team leader permission does not replace your own confidentiality agreement.
Keep downloaded information confidential too
A downloaded file can remain on your device after workspace access changes. Store it appropriately and do not forward it to people who are not authorised to receive it.
If information may have reached the wrong person, tell the Team leader promptly. Contact security@kinovo.com.au for security concerns or privacy@kinovo.com.au for privacy and information-handling concerns. Describe the issue without attaching unnecessary care information.
Agreement does not create authority
Accepting the agreement does not create authority to upload or share information that you are not otherwise allowed to handle. Check with the person or organisation responsible if you are unsure.
