Sending a quick invoice

Send an invoice to the right person as a trackable client task, without filling in unnecessary accounting fields or asking Kinovo to process payment.

Where to find it

  • From the professional Dashboard or Action Centre, choose Quick invoice.
  • If no client is selected, choose the correct client care team before attaching the invoice.

How Kinovo chooses the route

Kinovo uses the client’s recorded plan-management arrangement and active team membership. It suggests the saved invoice contact when available, otherwise an active plan manager, then the Team leader.

You can confirm or change the assigned person before sending. For an NDIA-managed client, Kinovo explains that the invoice is usually submitted to the NDIA outside Kinovo; continuing creates a tracking task for the Team leader.

Send the quick invoice

    Choose the client

    Make sure the invoice is being attached to the correct care-team workspace.

    Attach the invoice

    The invoice file is required. Use the same supported file types and 8 MB upload limit as other Kinovo documents.

    Check the prefilled request

    Kinovo uses “Review invoice from [your name] - [organisation]” when both are available, plus a short editable message.

    Confirm timing and recipient

    The needed-by date defaults to 14 Brisbane calendar days ahead and the task uses high priority. Confirm the suggested invoice contact.

    Send

    Kinovo creates the invoice task, stores the invoice with the appropriate access and confirms that it was sent.

How the recipient responds

The assigned person opens the invoice task and records the relevant outcome: sent or submitted, paid or confirmed, or more information requested. They can add a note and upload a receipt or payment confirmation.

A response file’s default visibility includes the uploader, care subject, Team leaders and the professional who sent the invoice, so the sender can review the evidence. The response then follows the ordinary Ready for review workflow.

What Kinovo tracks

  • Who the invoice request was assigned to.
  • Whether the response is still waiting, ready for review or completed.
  • The submitted outcome, note and permitted receipt or confirmation file.
  • The task history and notifications relevant to the participants.

Kinovo does not process the payment

A coordination record, not accounting software

Quick invoice helps the care team route and follow up an invoice. Payment, NDIA submission, accounting, tax and financial approval still happen through the appropriate external system and responsible person.
