Understanding task status and whose turn it is

A task’s label tells you whose turn it is. You and another team member may see different wording because one person needs to respond while the other is waiting or reviewing.

Who this article is for

Everybody who can view tasks in a care team

Where to find it

  • Task situations appear on dashboard cards, on the Tasks page and in task details.
  • Team leaders with whole-team visibility can also use the Team tasks view.

One task, different next steps

For example, you ask a therapist for a report. They see To do, while you see Waiting for response. After they submit the report, they see Response submitted and you see Ready for review.

The task has not been duplicated. Kinovo is explaining the next step from each person’s point of view.

When the task is assigned to you

  • To do — the task is waiting for your response or action.
  • Response submitted — you have responded and the requester now needs to review it.
  • Revision requested — the requester needs you to change or add something.
  • Completed — the response has been reviewed and the task is finished.

When you assigned the task to somebody else

  • Waiting for response — the assigned person has not submitted their response yet.
  • Ready for review — a response is waiting for you or another permitted reviewer.
  • Waiting for revised response — changes were requested and the task is back with the assigned person.
  • Completed — the response was accepted and the task is finished.

When you are following another person’s work

  • Assigned to [name] tells you who needs to respond.
  • Response submitted — awaiting review means a reviewer needs to check it.
  • Revision requested means the assigned person needs to update their response.
  • Completed means the task has been finished.

Follow progress without taking over

Seeing someone else’s task does not automatically give you permission to respond, review or edit it.

Waiting, blocked and overdue

Waiting means the work depends on something else, such as a supplier’s quote. Blocked means something is preventing it from moving forward. Add a clear explanation and the next follow-up so the team knows what is needed.

Overdue means the needed-by date has passed. It does not move the task to a different person or complete it. Check with the owner and update the plan if needed.

Self-assigned tasks have a shorter path: To do, then Completed. You do not have to submit a response for yourself to review.
